What the phone costs an accounting firm
Five situations from the season — and what Nora does about them.
The season when everyone calls
From March to June every client has a question at the same time: a VAT deadline, a receipt, annual accounts that need signing. The phone rings on top of the work that has to be done — and every call is an interruption in the middle of a figure.
✓ Nora takes every call in season, books meetings and takes messages, so you work the numbers uninterrupted.
Deadlines that must not be lost
A client calling about a deadline needs their matter to reach the person who has the case — not an answering machine that is listened to after hours. An overlooked message in May is a missed deadline in June.
✓ Nora takes a precise message about deadline and case and sends it to the right staff member by your rules.
New clients only call once
An entrepreneur calling to hear about prices and meetings chooses the firm that answered. He rarely calls back the one that did not — and he typically stays a client for many years with the one that did.
✓ Nora takes on new clients, asks the practical things and books a start-up meeting straight away.
Discretion in every call
Clients do not like discussing their finances with whoever happens to pick up. The person answering should ask what is necessary — name, case, who it concerns — and not a word more.
✓ Nora asks only the practical things and lets the details wait for the meeting with the accountant.
Meetings that get moved
Clients are busy people, and a meeting about the accounts rarely wins when the calendar squeezes. Every move is a call that has to be taken between two tasks, and a gap that has to be filled by someone else.
✓ Nora moves the meeting in your calendar and confirms the new time by SMS.
How Nora answers the phone at your firm
Nora knows your staff, your meeting types and your rules for who gets which messages — and she asks only about the practical things.
Nora learns the firm
At setup you tell us about meeting types and durations, who has which clients and tasks, what Nora may say about services, and when she should pass the call on. She gets your rules — not her own.
She takes the call
Nora asks whether it is a new or existing client, the case and preferred time, books meetings in your calendar and sends an SMS confirmation. Messages about deadlines and cases are sent to the right staff member by your distribution.
You see everything once the figure is done
Meetings sit in the calendar, messages in your back office with name, number and case. If a client wants to speak to their accountant now, Nora passes the call on by your rules — otherwise they are called back when it is calm.
Everything an accounting and bookkeeping firm needs on the phone
Meetings in the calendar
Nora books start-up and status meetings with the right staff member with the duration the meeting has.
Messages to the right person
Deadlines, receipts and questions are noted precisely and sent to the staff member who has the client — by your distribution.
New clients taken on
Nora asks about the company and the reason and books a start-up meeting, so the new client does not call on.
SMS confirmation and reminder
The client confirms the meeting with one tap and is reminded the day before. Fewer empty meeting slots.
Over 30 languages
Nora answers in the caller's language and switches by herself when the caller does.

Questions from accountants and bookkeepers
Does Nora ask about figures and receipts on the phone?
No. She asks only the practical things: company, reason and when a meeting suits. Figures, receipts and details wait for the meeting with the accountant. If the call is about a deadline, she notes what it concerns and when it is, so the message can be acted on straight away.
Can Nora send the message to the staff member who has the client?
Yes, by your distribution. You tell us who has which clients, and Nora asks for the company's name so the message lands in the right place. If the enquiry fits nowhere, she takes a message for the office. That way it is never a matter of chance who reads a deadline.
What does Nora note about our clients?
Only what it takes to book a meeting or pass a message on: name, phone number, company and what the enquiry concerns. Beyond what you have told her to, she does not ask; data is processed in the EU. Amounts, accounting figures and company registration details she does not ask for.
What does Nora cost for an accounting firm?
A fixed monthly price with no minute counting, so March and April do not cost more than November. All prices are on the pricing page, and we go through them at the demo together with your distribution and meeting types. You hear her take a call from a new client before you decide — with no commitment.
