Problems we see in medical practices
Six calls the secretary knows by heart — and how Nora takes the load off the line.
The morning queue at 8:00
Everyone calls at the same time, and the queue grows faster than it shrinks. The secretary takes one call at a time while thirty others listen to an engaged tone or a queue message. The one who finally gets through at 8:40 has spent three quarters of an hour booking an appointment.
✓ Nora answers everyone straight away — there is no queue with her.
Prescription renewals block the line
Routine requests block the people who are ill right now. Renewing the same prescription takes under a minute to note, but it occupies the only line the practice has. And it comes back every single month from the same patients.
✓ Nora takes the request and leaves it structured for the staff — the decision stays with the doctor.
Urgent, or an appointment next week?
Some need help now, others can wait. The difference is decided in the practice, not on the phone, and the patient still needs a calm answer about what to do next. Outside opening hours that answer is often the difference between a well-chosen and a wasted visit.
✓ Nora refers to the out-of-hours service by your instructions and gives only the numbers you have set up — never others.
Appointments need moving all day
Cancellations and rebookings interrupt constantly. One patient cannot make her appointment, another wants to be moved forward, a third has recovered. Every change takes a call, a search in the calendar and a message — and they come while the queue is still there.
✓ Nora moves and cancels — the patient confirms by SMS.
Patients in other languages
Every resident must be able to book an appointment. A patient whose first language is different must be able to say what the appointment is about without a relative on the line. Otherwise one call becomes two, and a simple booking becomes a whole morning's trouble.
✓ Nora speaks over 30 languages.
Personal data must be handled properly
Health information demands discipline. What is noted on the phone must be the bare minimum: who is calling, what the appointment concerns, and when the practice should call back. Everything beyond that belongs with the doctor and in the record, not in a phone message.
✓ Built in Denmark, run in the EU — personal data is deleted after use.
From call to confirmed booking
Nora knows your appointment types, your prioritisation rules and your calendar — and she never gives a medical answer.
The patient calls
Nora answers the phone 24/7 — also outside opening hours. She introduces herself with the practice's name, says she is an AI receptionist and asks what the call is about. There is no queue with her — everyone is taken the moment they call.
Nora understands and finds the slot
Nora understands the reason and proposes a free slot in your calendar. She books with the appointment types and durations the practice has entered, and follows your prioritisation rules to the letter. She never gives a medical answer — that belongs with the doctor.
The patient confirms by SMS
Nothing changes in the calendar until the patient confirms by SMS. The patient sees day, time and address on screen and says yes with one tap. Messages that are not meant to become an appointment are meanwhile left ready for the secretary with name, number and reason.
Everything your medical practice needs
Calendar booking
Nora books directly in your Google Calendar today — more integrations on the way, ask at the demo. Appointments are entered with the types and durations the practice uses, so a check-up does not take an emergency slot.
Over 30 languages
Nora answers in the caller's language and switches by herself when the caller does. A resident who does not speak the local language can book an appointment alone — without bringing a relative onto the line.
SMS confirmation with a swipe
Nothing changes in your calendar until the patient has confirmed by SMS. The patient sees day and time and says yes with one tap. An appointment nobody has answered never reaches the calendar.
GDPR first
Built in Denmark, hosted in the EU. Personal data on a booking is wiped once the order is completed. Nora notes name, date of birth and what the enquiry concerns — not symptoms, not diagnoses and no more than you have asked for.
Your prioritisation rules
Nora never promises medical answers; she follows your instructions, gives your out-of-hours number outside opening hours and takes precise messages. Only the numbers you have set up ever cross her lips.
Reports
See what Nora has answered, booked and caught outside opening hours. The morning queue can be seen hour by hour, so you know how many calls actually land between 8 and 9.
Fixed price — no minutes, no surprises
- All calls, around the clock, incl. weekends and public holidays
- Setup, calendar and SMS included
- Cancel month to month
Questions from medical practices
Can Nora decide whether a patient needs to be seen the same day?
No. She follows your prioritisation rules and gives only the numbers you have set up — for example the out-of-hours service outside opening hours. She never gives a medical answer. She takes the enquiry, books into the appointment types the practice has opened, and leaves the rest ready as a message for the staff.
What does Nora do with a request for a prescription renewal?
She takes it and leaves it structured for the staff with name, date of birth and what the request concerns. The decision stays with the doctor — Nora renews nothing and promises nothing. In return, the routine calls stop blocking the line for the people calling because they are ill right now.
What information does Nora store about a patient?
Only what it takes to book an appointment or take a message: name, date of birth, phone number and what the enquiry concerns. She never asks about symptoms or diagnoses, and she does not ask for more than you have told her to. Data is processed in the EU, and messages are wiped after use.
What if the patient wants to speak to the secretary?
Nora passes the call on by your rules — you decide when the desk may be disturbed. If nobody is free, she takes a precise message straight away and tells the patient when the practice will get back. Nobody is sent round a phone menu, and nobody stands in a queue with her.
