AI receptionist for psychologists — Nora takes the first call with calm and discretion

New clients call when they have found the courage — often in the evening, often only once. Nora answers calmly, never asks about the reason and takes only the practical details: new or existing client, referral or private, when it suits. Then she books the first session in your calendar or adds the client to your waiting list.

Nora
Welcome to Westbridge Psychology (demo). You're speaking with Nora. How can I help you?
Client
Hi … I'd like to ask whether I can get an appointment with a psychologist.
Nora
You can. I just need a few practical details: are you coming with a referral from your doctor, or is it a private arrangement?
Client
Private. And preferably after 16:00, if that's possible.
Nora
One moment — the first free slot after 16:00 is Thursday next week at 16:30. Shall I reserve it for you?
Client
Yes, please.
Nora
Then it's reserved. You'll get an SMS with the time and the address — confirm there, and it's yours. Thank you for calling.

🔍 The challenges

What the phone costs a psychology practice

Five situations we see at psychologists and therapists — and how Nora takes them without stepping on anyone's toes.

The client calls when the courage is there

The first call to a psychologist is rarely planned. It comes in the evening, in a break or right after a hard day — and if nobody answers, the courage is often spent. Many never call again.

✓ Nora answers around the clock, calmly and without waiting, and books a first session.

Discretion in every single call

Clients do not want to explain themselves to a receptionist, and they certainly do not want to say anything about the reason. One wrong question on the phone can be enough to make them hang up. The practice needs a voice that asks only what is necessary.

✓ Nora never asks about the reason — only new or existing, referral or private, and when.

The waiting list has to be explained again and again

When the calendar is full, a large share of the calls go on explaining that there is a waiting list, how it works and when to expect an answer. It is the same explanation a hundred times — and it takes time away from the sessions.

✓ Nora gives your waiting-list message word for word and adds the client with name and number.

Cancellations and rebooking between sessions

A client who cannot make it calls in the middle of another client's hour. The message lands on the answering machine, the slot stands empty, and someone has to call back later. Routine that eats breaks and evenings.

✓ Nora moves the appointment and sends a new SMS confirmation while you are in session.

The message does not get through

Doctors, local authorities and relatives call with questions that are not about an appointment. With nobody on the line, they become half-heard answering-machine messages that have to be deciphered and followed up — if they are heard at all.

✓ Nora takes a precise message with name, number and reason and sends it to you.

📞 The process

How Nora answers the phone in your practice

Nora knows your session types, your rules for referrals and your calendar — and she asks only what you have told her to.

Nora learns the practice

At setup you tell us about session types and durations, whether you take referrals, how the waiting list works and what Nora may say about it. She gets your words for all of it — not her own.

She takes the first call

Nora asks only the practical details: new or existing client, referral or private, and when it suits. She books the first session in your calendar or adds the client to the list by your rules — and sends an SMS confirmation.

You see it — and are not interrupted

Bookings land in the calendar, waiting-list messages and other enquiries in your back office. If someone wants to speak to you now, Nora passes the call on by your rules; otherwise she takes a message, and you call back when the session is over.

Waiting list by your rules

The client gets the time and address by SMS and confirms with one tap. No confusion about day and time.

Questions from psychologists

Does Nora ask the client what the enquiry is about?

No. She asks only the practical details: new or existing client, referral or private arrangement, and when it suits. She never asks about the reason for the enquiry, and the client decides entirely what is said on the phone. The rest belongs in the room with the psychologist, not in a call.

What does Nora do when there is a waiting list?

She gives your own waiting-list message, word for word as you have phrased it, and adds the client with name and number so you can call when a place opens up. She never guesses how long it will take. If there is a slot after all, she books the first one that matches the client's wish.

What does Nora note about the clients?

Only what it takes to book a session or take a message: name, phone number and whether it is a referral or a private arrangement. She does not ask about anything beyond what you have told her to, and data is processed in the EU. Nothing is written down about the reason.

What if the client would rather speak to the psychologist directly?

Nora passes the call on by your rules for when you may be disturbed and when a session is in progress. If nobody is free, she takes a message with name and number and calmly says when someone will call back. Nobody is pressed to say more than they want to.
